SIETAR Europa is looking to hire a Congress Coordinator for it's upcoming Congress in Krakow titled "Interculturalism Ahead: Transition to the Virtual World." SIETAR Congresses are highly anticipated and closely watched events in the intercultural field. Hence this is an opportunity to demonstrate professional competence among your peers, as well as to work closely with other expert congress organizers.
This congress coordinator will be working closely with volunteers, essentially organizing and coordinating different committees to bring the next SIETAR Europa congress (in Krakow from the 21-25 of September, 2011) to a successful completion. The person will have essentially nine months to accomplish the task, starting the 17th of January of this year and will work until the 15th of October, 2011.
Duties of Congress Coordinator:
Oversees, participates to and supports the work of the various Congress committees
Facilitate communication between all SE Congress committees and the Contractor in Krakow thus helping needed information to be delivered to him in time and all action to be timely performed in support to the on the ground preparation
Facilitate operations and responds to emergencies, problems, etc., ensures all aspects of events are implemented and controlled according to plans
Maintains weekly and monthly committee activities calendar; updates calendar as required.
Reviews vendor’s contract proposals and makes appropriate recommendations as needed
Participates in discussion and make recommendations regarding policies (free or discounted admissions, scholarships, volunteer treats, advanced and door pricing, etc.)
Prepares a list of volunteers and amounts to be discounted/rebated or awards
Works with the finance and sponsoring committees in coordinating and tracking various expenditures and revenues, collecting fees and maintaining any necessary records.
Supports the Contractor in the coordination with hotel's management the acquisition of necessary services, technical, catering, etc.
Supports the PR Committee in writing calendar-listing information; distribute to regional media - print, radio, and television.
Oversees the organization and works with the program Committee on the creation of final program, including the printing of Congress program
Works with the relevant committees on compilation of event program; maintains mailing lists for distribution of event calendar or other pertinent information.
Supports the work of the committee, which is implementing a social and cultural program to be run parallel to the Congress (eg. Gala event, appreciation for Krakow culture and history, additional entertainment packages, such as local dances for publicity etc.)
Works with the Contractor in Krakow to maintain direct contact with the various outside organizations associated with scheduled events.
Works with the relevant Committee on the draft of the recognition announcement to be made during the event
Works with the relevant committees and volunteers so to handle sessions questionnaires and e-survey (set up, supervise, evaluate) for post congress
Knowledge, Skills and Abilities:
Knowledge of scheduling, box office operations and contract administration.
Knowledge of supervisory practices and principles.
Skills in public relations and handling complaints.
Skills in organization in order to coordinate several events simultaneously.
Skills in leadership and motivation.
Skills in both verbal and written communication in English and ideally in Polish.
Moderate compensation and expense reimbursement on a free-lance basis are offered and will be negotiated and linked to performance of the ideal candidate
