Your Profile – You are a trainer, academic, intercultural coach, intercultural student, applied linguist or a cultural enthusiast. And, you have been a member of one of the European National SIETARS that supports SIETAR Europa, and feel you now have something more to offer to the whole European membership, (an amazing group of people.)

Opportunity missed – Don’t let this one slip through your fingers. This is the first election, in what represents a new era for SIETAR Europa, aiming to broaden out the candidate pool (to some 1,200 souls), be inclusive, transparent, and to support the active promotion of new talent.

What have you heard? “But all SIETAR Europa really does is put on a Congress every other year!”  Wrong! SIETAR has 5 thriving committees, generating plenty of other activities and engagement. Just one example from the last 12 months – The Anti-Racist educational webinar series. Speakers generated powerful content, delivered with passion, and engaged with record breaking crowds. Webinar registrations regularly hit 300 people for each webinar.

We only have 4 places, and we want volunteers who are going to give of their best, and, get the most out of the experience too.

  • Don’t enjoy robust exchange and discussion
  • Are not well organised!!!
  • Don’t have the time to be available for the key moments – Congresses, meetings, or occasional incidents and dramas
  • Are not passionate about the key intercultural issues happening in our world today – Inclusion, Migration, Peace, Racism, Education, Mentoring, Discrimination, Language, Polarisation & Extremism, etc.

Support – You will never walk alone. The best thing about SIETAR, in all its forms, is the support and bonhomie between members, committee volunteers, and partner organisations. SIETAR works, and works best, when we help each other, commit to agreed actions, and function as a multi-disciplinary, coordinated team. This is the promise of the new structure.

2021 Virtual Institute Project Manager

SIETAR Europa is looking for a detail-oriented and well-organized volunteer for a 5-month project to develop our 2021 SEU Virtual Institute as Project Manager. This new SIETAR Europa event will fill the gap left by the rescheduling of the 2021 Congress and will be attended by intercultural professionals from around the globe.

The SEU Virtual Institute Project Manager will work closely with the SEU Board of Directors and committee chairs to organize, coordinate, and deliver our 2021 Event.

The SEU Virtual Institute is set to run over a 2-week period. It will deliver a series of “masterclass” workshops on specific themes that blend cutting-edge research with up-to-date practices involving the education, corporate, and NGO fields. It will also involve a number of plenary events as well as virtual networking and social activities.

 

Duties of this position

Leadership & Communication

  • Collaborates with the Steering Committee to provide a strategic approach to budgeting and creative direction of summer virtual-event.
  • Monitors back office team (registration, communication with attendees)
  • Facilitates communication between registration, communication, speakers, production, finance, as well as working with other stakeholders to coordinate timelines using Slack and Trello.
  • Monitor list of volunteers

Virtual Event Planning

  • Designs Project Management Plan for a series of masterclasses to take place over a two-week period. This person will develop and implement a program to transform a digital experience into a memorable learning and networking event
  • Communicates and strategizes with the Community Development Committee, which is implementing a social and cultural program to be run parallel to the virtual event (e.g. virtual networking events, additional virtual entertainment packages etc.),
  • Facilitates operations and responds proactively to ensure all aspects of events are implemented and controlled according to plans
  • Oversees the organization and works with the programme Committee Chair on the creation of the final programme
  • Works with the relevant committee on the draft of the recognition announcements to be made during the event
  • Works with the relevant committees and volunteers in order to handle session feedback questionnaires and e-survey (set up, supervise, evaluate online)

Finance

  • Tracks budget with the finance and sponsoring committees to coordinate and assess various expenditures and revenues, collect fees, and maintain necessary records.
  • Reviews new vendor contract proposals for additional requirements and makes appropriate recommendations, and consults the Steering Committee as needed.
  • Participates in discussions and makes recommendations regarding policies (free or discount admissions, scholarships, volunteer treats, pricing, etc.)
  • Supervises or monitors amounts to be discounted, rebated, or awarded.

Qualifications

Must be/have

  • Excellent planning, budgeting, and project management skills and have the ability to lead and motivate teams, and work under pressure due to time and budget constraints.
  • Good communication and interpersonal skills in a virtual context
  • Detail-oriented individual with the ability to see projects through from start to finish.
  • Strong interpersonal skills with clear communication and a friendly manner.
  • Able to liaise effectively with volunteers, committees, participants, and presenters.

Preferred

  • Experience of previous SIETAR Europa events
  • Experience in a related field such as public relations, exhibition management, or virtual event organization would be useful.

2022 Congress Programme Committee Chair

Call for Congress Programme Committee Chair

The Programme Committee Chair is a high-level leader responsible for overall vision, strategy, planning and execution  of  a  well-balanced, high-quality  programme for the 2022 SEU Congress. The Programme Committee Chair will together with the team develop the Congress’s call for submissions and source suitable abstract management software. You are also take responsibility for the review process and the conference schedule. The Programme Committee Chair needs to build on the work of the past conferences and plan for what their conference will leave to support the next year’s conference.

The Programme Committee is responsible for assembling the Congress programme. This includes:

  • Attending Steering Committee meetings, mostly via conference calls. Act as chair of these meetings when Congress Coordinator is not in attendance.
  • Recruiting people to fill all Chairs for the Programme Committee.
  • Managing the soliciting of session proposals from members and colleagues.
  • Working with the Track leads on the assignment and approval of reviewers or Overseeing the reviewing process and communicating the results.
  • Selecting invited plenary and keynote speakers.
  • Overseeing the publication of a printed program.
  • Communicating with the Congress Coordinator and the Steering Committee
  • Arranging the schedule of sessions selected by the Team, including rooms and AV/tech needs
  • Serving as principal trouble-shooter and problem-solver for conference attendees, presenters and exhibitors
  • Writing up the post-conference report and submit to SEU Board of Directors within three weeks following the end of the Congress
  • Maintaining records, which include providing updates to the Programme Chair section of the Conference Handbook
  • Assisting in the training of the congress Programme Committee chair elect.

Programme Committee meetings:

  • Writing an agenda prior to every virtual meeting
  • Scheduling the meetings on Zoom
  • Sending the agenda and the invitations to the meetings to the team members one day before the virtual sessions
  • Conducting and facilitating the session (with focus on time management – approx. 1,5 h meetings, equal involvement of all the members in the virtual communication, paying attention to the technical issues while using the virtual tools).
  • Appointing one person who takes the minutes and puts them into dropbox within 24 hours

Ideal Programme Committee Chair Skills:

  • Recognizes the SEU mission and values and has a vision for the conference
  • Has time to commit to this project, has relatively independent control over their schedule, and can be available to the Congress Coordinator and Steering Committee when critical decisions need to be made
  • Has strong organizing, meeting facilitation, and people skills
  • Has content knowledge (what’s relevant, compelling, innovative) and wide professional network
  • Ideally, experience in using Conftool or a similar tool for receiving proposals

How Much Time Will It Take?

  • Monthly, 1,5-hour video-meetings; weekly meetings month before conference
  • Some meetings will require follow-up work, average 3 hours/month in the early stages, and can increase up to 10 hours/month during the Congress year.
  • Two in-person meetings:
  • Two days to review and make final decisions on content
  • Two days to proofread and edit Congress programme before going to printer

The Programme Committee consists of the heads of the below sub-committees and a group of volunteers. The overall Programme Committee is responsible for the title, tracks and formats identification.

  1. Keynote speakers’ Committee
  2. Academic Track Committee
  3. Practitioner’s Track Committee
  4. Film Festival Committee

The Programme Committee Chair reports directly to Congress Steering Committee; Heads of the Programme sub-committees report directly to the Programme Committee Chair.

Two primary obligations:

STEP 1 is to identify the title, the stakeholders, the tracks and the formats of submissions.

STEP 2 covers the identification of criteria for submission of the proposals, the choice of the conference tool for proposals submission, the proposal review and sending the confirmation to the accepted presenters.

2022 Congress Coordinator

Call for a Congress Coordinator

SIETAR Europa is looking for a detail oriented and well organized volunteer to be our 2022 SEU Congress Coordinator. SIETAR Europa Congresses are highly anticipated events in the intercultural field, and attended by intercultural professionals from around the globe.

The Congress Coordinator works closely with the SEU Board of Directors, the Programme Committee Chair, and other congress committee chairs to organize, coordinate, and deliver our 2022 Congress.

Volunteering as the Congress Coordinator is an opportunity to demonstrate professional competence among your peers, as well as to work closely with other expert congress organizers.

Duties of Congress Coordinator:

Leadership:

  • Sets milestones, assigns responsibilities to Congress subcommittees as outlined in the Congress Handbook; monitors and reports on the progress of the Congress Steering Committee.
  • Collaborates with the Congress Steering Committee to organize and deliver the SEU Congress
  • Oversees and supports the work of the various Congress committees (Finance, Programme, Communication, Logistic)
  • Maintains weekly and monthly committee activities calendars; updates calendars as required
  • Follows-up on the congress back office team (registration, communication with attendees)

Event Planning:

  • Works with the relevant committees on compilation of the event program; maintains mailing lists for distribution of event calendar or other pertinent information.
  • In association with the SEU IT Committee, decides on a collaborative project management tool and organizations a training for its users.
  • Supports the work of the committee, which is implementing a social and cultural program to be run parallel to the Congress (e.g. Gala, cultural events, additional entertainment packages, etc.)
  • Facilitates operations and responds to emergencies, problems, etc; ensures all aspects of events are implemented and controlled according to plans
  • Works with the local Event Manager to ensure the acquisition of necessary services, technical, catering, etc.
  • Oversees the organization and works with the Programme Committee Chair on the creation of the final programme, including the publication of Congress programme
  • Works with the Event Manager to:
    • maintain direct contact with the various outside organizations associated with scheduled events.
    • obtain meeting request orders, book meeting rooms and send confirmations to clients.
    • determine participant counts and accordingly book right sized meeting rooms.
    • process all other additional requests such as room set-up, catering needs and audio visual device requirements.
  • Works with the relevant committee on the draft of the recognition announcement to be made during the event
  • Works with the relevant committees and volunteers in order to handle session feedback questionnaires and e-survey (set up, supervise, evaluate) for post congress

Finance:

  • Tracks budget with the finance and sponsoring committees in coordinating and tracking various expenditures and revenues, collecting fees and maintaining any necessary records.
  • Reviews new vendor contract proposals for additional requirements and makes appropriate recommendations and consults the Congress Steering Committee as needed.
  • Participates in discussion and makes recommendations regarding policies (free or discounted admissions, scholarships, volunteer treats, advanced and door pricing, etc.)

  • Facilitates communication between all SEU Congress committees and the Congress Event Manager; ensuring the Event Manager has necessary information on time; all action to be timely performed in support to the on the ground preparation.
  • Supports the PR team in writing calendar-listing information; distributes to regional media – print, radio, and television.

 

Qualifications:

Must be/have:

  • Excellent planning, budgeting and project management skills and have the ability to lead and motivate their teams, and work under pressure due to time and budget constraints.
  • Good communication and interpersonal skills
  • Detail-oriented individual with the ability to se projects through from start to finish.
  • Able to multitask with excellent organizational abilities.
  • Strong interpersonal skills with clear communication and a friendly manner
  • Able to collaborate and work seamlessly with both members of your own team and outside parties to ensure everyone is on the same page and committed to an outstanding outcome
  • Able to negotiate to get satisfactory rates and services, which requires conference coordinators to discuss terms until an agreement can be reached
  • Able to think on your feet, and be agile and responsive when challenges present themselves, and to keep the event on track must be capable of managing several activities at the same time,
  • Able to liaise effectively with volunteers, committees, suppliers and presenters.
  • Excellent customer service skills to deal with inquiries and complaints

Preferred:

  • Experience of previous SIETAR Europa congresses
  • Experience in a related field such as public relations, exhibition management or the hotel and catering industry would be useful, and coordinators must be able to demonstrate a track record of successful event management.
